Welcome to Day 1
Workforce 5-Day AI for Senior HR Professionals Challenge
Over the next 5 days, you — alongside thousands of Senior HR Professionals across Africa — will learn how to radically improve your organisation, upgrade your HR function, and transform your HR career using AI.
Not theories. Not abstract “future of work” slides. Not AI jargon.
You are going to build practical, strategic, HR-specific AI systems you can deploy immediately—systems that make you faster, sharper, more influential, and more valuable.
What you will get
By the end of this challenge, you will have AI capabilities you can apply across:
Workforce Planning
Talent acquisition
Performance management
Learning & development
Employee Relations
Organisational Development
HR Operations
HR Analytics
Public Sector HR & Reform Initiatives
Executive Communication & Strategic Advisory
Every part of your role can be upgraded with AI—if you know exactly how. This challenge shows you how.
What got you here.
As I was preparing this challenge, I reviewed several global and Africa-specific HR and work statistics. They stopped me—not because they were shocking—but because they confirmed what every serious HR leader already feels.
The game is shifting. And it is shifting fast.
While you’re buried in:
- Endless Employee Issues
- Board Requests
- Reactive Firefighting
- Compliance Pressure
- Recruitment Urgency
- Performance Challenges
- Organisational Chaos
AI is quietly rewriting the rules of Human Resources. Talent shortages, skills gaps, time pressure, executive expectations—AI is changing everything.
Consider this
McKinsey reports that AI-enabled organisations are 50% more productive across talent and operations.
IBM found that 64% of CEOs globally are already replacing human workflows with AI systems—including HR workflows.
Goldman Sachs estimates that 300 million work activities are being reshaped or replaced, many in HR.
SHRM reports that nearly 80% of HR tasks can be automated or enhanced using AI, freeing up professionals to become strategic partners.
In Africa, organisations are leapfrogging traditional HR development curves by adopting AI-first HR models, skipping years of manual processes.
This is not 2030. This is not the future. This is next quarter.
AI isn’t “stealing HR jobs.” It’s stealing HR leverage.
The HR leaders who learn it are amplifying their strategic influence. The ones who don’t are drowning under operational workload that should have been automated years ago. That’s why this challenge exists.
Because AI, used correctly, is the fastest way for HR to:
- Buy back time
- Improve strategic impact
- Elevate capability
- Reduce operational burden
- Increase organisational performance
- Strengthen HR’s credibility
- Accelerate career momentum
This is not about “keeping up.” This is about remaining relevant. The old way of HR dies in the next five years. The new way is already here.
Are you ready?
Here’s the truth.
This challenge only works if you actually do the work. Each daily task takes 10–15 minutes, but the impact is transformational.
Right now—before you continue—open your calendar and block 15 minutes for the next 5 days. Same time every day if possible. Treat it like a meeting with your CEO. Because your future self will thank you.
I’ve trained thousands of HR professionals. There’s a clear pattern:
- The ones who schedule it — complete it, implement it, and get results.
- The ones who “find time later” — never do.
Block the time. Good. Let’s begin.
The 4-Part Prompt Process
You’ve probably already tested ChatGPT or watched AI videos on LinkedIn.
You typed:
“Write a JD”
“Draft a memo.”
“Summarise this policy.”
“Create a performance improvement plan.”
What you got was… okay. Not bad, but not strategic. And definitely nothing that could save you hours per week.
The problem is not the AI. The problem is your prompts.
Most HR professionals use AI like: “Google with a personality.” But HR Leaders who are saving 10–20 hours per week use a completely different structure.
The 4-Part AI Prompt Formula for HR Leaders
Role
Tell the AI exactly who it should act as.
Not: “you are ChatGPT.”
Be specific, say: “You are a Senior HR Business Partner with 15 years’ experience supporting complex organisations in Africa.”
The sharper the role, the better the output.
Context
Give AI the background. This is where most HR professionals fail.
Tell it:
- What happened before
- Who is involved
- What the issue is
- Performance levels
- Cultural realities
- Policies
- Risks
- Sensitivities
Skip this → AI gives generic nonsense. Include this → AI gives strategic HR outputs.
Command
Tell the AI exactly what to produce.
Not: “Write a disciplinary memo.”
Say: “Draft a 1-page disciplinary memo for an employee who has violated the attendance policy for the third time. Keep tone firm but fair. Include next steps, consequences, and options for rehabilitation.”
Be specific.
Format
Tell AI exactly how the output should be structured.
- Bullets?
- Narrative?
- Table?
- Policy format?
- Slide-ready?
- Executive-level summary?
If you don’t tell it, it guesses. And the guess is usually wrong.
Before & After Examples
Bad HR Prompt
Write an email to a manager about a performance issue.
- AI Response
“Dear Manager,
This email is to inform you that there is a performance issue that needs
attention…”
This is weak. Generic. Useless.
Good HR Prompt
Using 4-Part Formula
1. Role:
You are a Senior HR Business Partner supporting a large retail organisation in Kenya with over 2,000 staff.
2. Context:
I am writing to Lydia, a Store Manager in Kisumu. For the past 3 months, her cashier team has recorded the highest error rates across the region. We discussed this twice already. A mystery shopper report last week confirmed that training gaps still exist. Lydia takes feedback personally, so message must be firm but supportive.
3. Command:
Draft an email that:
- Highlights the recurring issue.
- Links it to previous conversations.
- Clarifies expectations.
- Offers support options.
- Sets a review date.
- Keeps the tone professional but empathetic
4. Format:
- 120–150 words
- No jargon
- Clear next steps in bullet points
- AI Response
Subject: Cashier Performance Follow-Up
Lydia,
Following our last two conversations on cashier errors, the latest mystery shopper report confirms the issue is still recurring. I need us to address this decisively.
Here’s what I require by Friday:
- A brief root-cause summary.
- A targeted retraining plan.
- Proposed accountability measures.
I’m available to support you with templates or guidance. Let’s review progress together next Wednesday.
Thank you for taking ownership of this.

Today’s Challenge
Extract Your Writing Tone as an HR Leader.
Your first task is to create a Tone Blueprint—a document that teaches AI to write exactly like you. This is your personal writing DNA.
Once AI knows your tone, everything you produce becomes:
- Faster
- More consistent
- More professional
- More strategic
- More “you”
This single exercise will save you hours every week.
Step by Step Exercise
Gather 3–5 Samples of your Real HR Communication
Use real examples like:
- Emails to executives
- Feedback to line managers
- HR advisory notes
- Performance review comments
- Policy clarification memos
- Employee relations messages
- WhatsApp / Slack messages to your team
- Internal HR updates
- LinkedIn posts you wrote
Make sure they reflect your natural style, not formal corporate documents you were forced to write.
Copy this AI Prompt (HR Version)
Copy & paste this inside ChatGPT:
- Emails to executives

- HR advisory notes
- Performance review comments
- Policy clarification memos
- Employee relations messages
- WhatsApp / Slack messages to your team

1. Role:
You are a communication analyst who specialises in analysing the written tone, reasoning style, and communication patterns of Senior HR Professionals across Africa.
2. Context:
I am going to provide you with 3–5 writing samples from my real communication as a Senior HR Professional. These reflect how I naturally communicate with employees, managers, executives, and stakeholders. I want AI to help me write, but I need it to match MY tone, not sound generic or robotic.
3. Command:
Analyse these writing samples and produce a comprehensive Tone Blueprint that includes:
- My tone (direct? warm? firm? strategic? conversational?).
- My sentence structure.
- My reasoning style and communication patterns.
- My typical word choice.
- My approach to conflict, escalation, empathy, and influence.
- My level of formality.
- What makes my writing distinctive and recognisable
4. Format:
Produce a 450–550 word structured outline with headings. Use examples from my writing to illustrate each point. Make it detailed enough for me to copy/paste into future prompts so AI can write exactly like me.
Here are my writing samples:
