As I was preparing this challenge, I reviewed several global and Africa-specific HR and work statistics. They stopped me—not because they were shocking—but because they confirmed what every serious HR leader already feels.

The game is shifting. And it is shifting fast.

The 4-Part Prompt Process

You’ve probably already tested ChatGPT or watched AI videos on LinkedIn.

You typed:

“Write a JD”

“Draft a memo.”

“Summarise this policy.”

“Create a performance improvement plan.”

What you got was… okay. Not bad, but not strategic. And definitely nothing that could save you hours per week.

The problem is not the AI. The problem is your prompts.

Most HR professionals use AI like: “Google with a personality.” But HR Leaders who are saving 10–20 hours per week use a completely different structure.

The 4-Part AI Prompt Formula for HR Leaders

Role

Tell the AI exactly who it should act as.
Not: “you are ChatGPT.”
Be specific, say: “You are a Senior HR Business Partner with 15 years’ experience supporting complex organisations in Africa.”
The sharper the role, the better the output.

Context

Give AI the background. This is where most HR professionals fail.

Tell it:

Skip this → AI gives generic nonsense. Include this → AI gives strategic HR outputs.

Command

Tell the AI exactly what to produce.
Not: “Write a disciplinary memo.”
Say: “Draft a 1-page disciplinary memo for an employee who has violated the attendance policy for the third time. Keep tone firm but fair. Include next steps, consequences, and options for rehabilitation.”
Be specific.

Format

Tell AI exactly how the output should be structured.

If you don’t tell it, it guesses. And the guess is usually wrong.

Before & After Examples

Bad HR Prompt

Write an email to a manager about a performance issue.

“Dear Manager,
This email is to inform you that there is a performance issue that needs attention…”

This is weak. Generic. Useless.

Good HR Prompt

Using 4-Part Formula

1. Role:

You are a Senior HR Business Partner supporting a large retail organisation in Kenya with over 2,000 staff.

2. Context:

I am writing to Lydia, a Store Manager in Kisumu. For the past 3 months, her cashier team has recorded the highest error rates across the region. We discussed this twice already. A mystery shopper report last week confirmed that training gaps still exist. Lydia takes feedback personally, so message must be firm but supportive.

3. Command:

Draft an email that:

  • Highlights the recurring issue.
  • Links it to previous conversations.
  • Clarifies expectations.
  • Offers support options.
  • Sets a review date.
  • Keeps the tone professional but empathetic
4. Format:
  • 120–150 words
  • No jargon
  • Clear next steps in bullet points
Subject: Cashier Performance Follow-Up

Lydia,
Following our last two conversations on cashier errors, the latest mystery shopper report confirms the issue is still recurring. I need us to address this decisively.
Here’s what I require by Friday:

  • A brief root-cause summary.
  • A targeted retraining plan.
  • Proposed accountability measures.
